How to: Use Outlook to Check Your Email at Home
Tired of using Web Outlook for your email at home? Me too. That's why you can now set up Outlook or another email program of your choice and use your email as you would here. The only difference is that your contacts will not be accessible, you will need to access those from Web Outlook when you need them, but you can still to the important sending and receiving of email.
The following instructions apply to Outlook 2003. The instructions will vary a little if you have an older version of Outlook.
Instructions for Outlook 2003
- Open Outlook, go to Tools, then Email Accounts.
- Choose Add a new e-mail account, click Next.
- Choose the POP3 option, click Next.
- You'll be asked to enter the information about the mail servers. Enter the information as you see it below, making the appropriate changes (i.e. name, username, password, email address).
Important things to note: "aaec\" must be placed in front of your user name, and your email address must have "@agecon.vt.edu" and not just "@vt.edu"
- Before going on, click the More Settings button and click the Outgoing Server tab. Check the box that says, "My outgoing server (SMTP) requires authentication."
- Next, go to the Advanced tab, and check the box under "Incoming server (POP3)" that says "This server requires an encryped connection (SSL)" and make sure the box says 995, as shown below:
IMPORTANT: Also, as you see above, we're going to want to check "Leave a copy of messages on the server" and "Remove from server when deleted from deleted items"; this will make sure you have the same email at work as you do at home. If these boxes aren't checked, all of your email will be downloaded to your home computer and be taken off the mail server here, and you will not see your email while in the department.
- Now click OK, then click Next, then Finish
For Other Email Programs
Other versions of Outlook will have instructions similar to the ones above. But if you have another program, such as Eudora, you will need this information when asked:
POP server: exchange.agecon.vt.edu
SMTP server: exchange.agecon.vt.edu
Email address: username@agecon.vt.edu
Username: aaec\username
Password: Your department password
Use SSL, port 995, for POP3 connection
Leave messages on server.
